Frequently asked questions

Don’t see your question? Email rob@visilence.com and we’ll get back to you. For setup instructions, see our How it works guide.

Getting started

Who is Visilence for?

Small service businesses — contractors, cleaners, salons, hood cleaners, cabinet builders, fire-extinguisher techs, and similar operations with one owner and a handful of field staff. If you spend time juggling schedules, invoices, customer calls, and a spreadsheet of who owes what, Visilence is for you.

How much does it cost?

14-day free trial, no card required. After the trial, you pay a flat monthly subscription. Visilence takes no percentage of payments you collect through Stripe — that money goes directly to your bank account. Pricing is shown on the pricing section of the home page.

Do I need to be technical to use it?

No. The setup walkthrough takes about 20 minutes. If you can use a smartphone and have a Gmail address, you can run Visilence. If you get stuck, email rob@visilence.com.

Can I cancel anytime?

Yes. Cancel from your billing area and you’ll keep access until the end of your current billing period. No long-term contract.

Integrations

What integrations are supported today?
  • Google Calendar — appointments mirror to your primary calendar
  • Google Maps — geocoding, route optimization
  • Stripe — accept card payments on invoices
  • QuickBooks Online — paid invoices and mileage push to your books
  • Twilio — SMS for review requests, receipts, sick-day notices
  • Vapi — AI voice receptionist (optional)
  • Resend — transactional email
  • Plaid — bank/card transaction sync (optional)
Do I keep my own Stripe / QuickBooks / Twilio accounts?

Yes. You connect your accounts to Visilence. Payments land in your Stripe balance, your books stay in your QuickBooks file, your SMS messages go from a phone number registered to your business. Visilence is the workspace that ties them together.

What if I don't use QuickBooks?

That’s fine. Skip the QuickBooks step entirely. Invoices, payments, and reports all work inside Visilence on their own.

SMS, voice, and privacy

Will my customers' phone numbers be shared with anyone?

No. Phone numbers collected through Visilence are never sold or shared with third parties for marketing or any commercial purpose. They’re used only to deliver the messages and calls you (or your automations) initiate. See our Privacy Policy section 5 for the full statement.

What does the AI receptionist do?

When a customer calls and you don’t pick up, the AI receptionist answers using a script you control. It can answer FAQs about your business, take a message, schedule a callback, or transfer to your mobile. It records and transcribes the call so you can review it later.

Some states require you to disclose call recording to both parties. The receptionist’s greeting handles that disclosure — you just configure the wording in your business profile.

Do I need verbal consent before texting a customer?

Yes. Twilio and the U.S. carriers require it. The recommended phrase is: “Is it OK if we follow up with a text at this number?” Save the opt-in (a checkmark on the contact, a note, anything reproducible) and you’re covered. STOP replies from customers automatically opt them out platform-wide.

What happens if a customer replies STOP?

We immediately mark that recipient as opted out for your account. They won’t receive further SMS from Visilence on your behalf until you re-obtain consent.

Data and ownership

Who owns the data I put into Visilence?

You do. Your customer records, appointments, invoices, and communications are your data. Visilence stores and processes them on your behalf so we can run the platform — that’s it.

Can I export my data?

Yes. Invoices can be exported to CSV. Contacts, appointments, and other records will follow. If you need a full data export today, email rob@visilence.com and we’ll deliver one within a few business days.

How do you secure my data?

Encryption in transit (HTTPS/TLS) on every connection, encryption at rest for sensitive credentials, webhook signature verification, and tenant-scoped access on every query. Full details in our Privacy Policy section 8.

Day-to-day operations

Can I track mileage for tax purposes?

Yes — automatically. When you mark an appointment completed, Visilence captures the driving distance from your previous stop (or your business address) using Google Maps and posts it as a Purchase / vehicle-expense entry in QuickBooks. No manual mileage logs.

Can I send review requests after a job?

Yes. When an invoice is marked paid, Visilence can automatically text the customer a short message asking for a Google review (with your review link). You configure the message template under Business profile → Communications.

What about recurring appointments?

Built in. When you create an appointment, choose a recurrence (weekly, bi-weekly, monthly, custom) and Visilence schedules every future occurrence on your calendar.

Can multiple technicians use the same account?

Yes. Assign each appointment to a technician. They see only the appointments assigned to them on their own dashboard, plus the route map for their day.

Custom development

What if Visilence doesn't do something my business needs?

That’s where we shine. Visilence is built by a small team that takes on custom development for businesses with specific workflows. If you have a one-off integration, a unique reporting need, or a process you wish the platform handled, email rob@visilence.com and we’ll scope a custom build.

Do I have to pay extra for custom development?

It depends on scope. Small additions and configurations are often free for active subscribers. Larger custom builds are quoted up front so there are no surprises. We’ll let you know which bucket your request falls into before any work begins.

How do I get in touch with the team?

The fastest path is email: rob@visilence.com. Include your business name and a short description of what you need.

Still have questions?

Email rob@visilence.com with your business name and a short description of what you’re trying to do. We respond within one business day.
